Facilities Stewardship

Please contact the office to reserve space for your group to meet. Also, contact the office when a meeting or event is canceled. Please supervise children at all times.
All groups will perform their own general clean up and return of furnishings to their original positions. When you are finished, please leave the room better than it was found. Do your part in the care and cleanup of the facilities helps ensure we’ll be able to reach others who are not yet here (pay-it-forward).
In light of the many activities held in our building, and because the primary purpose of the building is to gather to worship God, it is important that we manage the use of the building well, with care to preserve a welcoming environment to all of us, especially to our guests.
Please accept the guidelines in that spirit.
Request use of room
Facilities may not be used for profit or personal gain.
- Complete the Building Event Request Form and submit to the office at least 2 weeks in advance of your event.
- If the event or room usage is for a ministry of Messiah, be sure you can relate the event to our mission, strategy and values, as well as discussing with your staff sponsor.
Reservation
You are responsible for:
- Contacting the office to review usage guidelines
- Set-up and tear-down of your room
- Knowing where to find tables, chairs, equipment, supplies, etc.
- Understanding kitchen usage policies and procedures; and obtaining a certified Person In Charge , if applicable
- Ensuring proper supervision for children
- Knowing how to collapse and restore room dividing walls
- Scheduling training for use of Multi Media tower
- Phone location and usage
- Fire extinguisher location
- First aid location
Incident Report
In the event something is broken or damaged, please complete an Incident Report and return it to the office. Forms are located in the Resourcing Room.
All rooms
- Tables and chairs should be cleaned; spray cleaner and towels can be found in the Janitors closet near the equipment room.
- Correct number of tables setup; refer to room specifics and pictures posted in the room.
- Each round table should have 6 folding chairs, folded and placed on top.
- Return extra tables and chairs to the Table & Chair Room; please refer to the pictures for proper storage.
- Dispose of garbage properly. Please use bags in garbage containers.
- If food items are spilled on the floor, please vacuum. The vacuum can be found in the Janitors closet located near the bookstore.
- Close collapsible walls. The tool is located in one of the rooms divided by the wall. Be sure to properly align the walls and secure each panel into place with the wrench to seal the bottom. When the last panel is in place, use the wrench to expand the wall.
- Return supplies and resources to their proper place.
- Erase whiteboards.
- Put up screens.
- Turn off each component (computer, dvd, master tower) and lock Multi Media cabinet.
- Turn off lights.
- Close doors; this helps to maintain and regulate proper heating and cooling in rooms.
Miscellaneous
- Mobile carts are labeled with location to return them
- Mobile coat racks are labeled with location to return them
- TV carts are labeled with location to return them
- Trash containers are labeled with where they are to be located

Common Areas
Common areas are areas in the church that are not scheduled or reserved by groups. The church may restrict use of these areas for ministry use.
Chapel
- 2 pews; 8 chairs
Conference Room
- 12 conference chairs around the table.
- 2 conference chairs placed in front of the outside window.
- TV cart placed in the SE corner; make sure remotes are with the cart.
- If stationary chairs were brought into the room, return them to the tables in the commons.
- Each table in the commons should have 3 or 4 stationary chairs.
Resourcing Room
This room is located across from the Gathering Rooms and contains resources for ministries. This room will remain unlocked. A few valuable resources are locked in cabinets; keys for the cabinets are available from the office.
- Keys for modular A & B, multi media towers, etc.
- Area for drop-off and pick-up of materials
- Area for lost and found
- Report items to front office, via e-mail or voice mail to Jackie (extension 223 or jmaxwell@messiahbc.org).
- Items will be recorded in a Lost and Found log, with date found.
- If item is not retrieved in 6 weeks, it will be donated to Salvation Army.
- Signage for door insert / display board, if applicable.
- Resources for group or individual bible study for check-out

- A conference room area is available for drop-in use

- No items should be stored in the area marked around the electrical boxes and alarm system panel
- 6’ tables are stored vertically along the right (west) wall
- Round tables are stored on the table carts and placed within the center tape lines
- Chairs are stacked along the left (west) wall; fill this area first
- Remaining chairs placed in the chair carts; 15 chairs on each side
- Chair racks are stored in the aisle between the chairs and table charts

Early Childhood Rooms – Rooms 1 – 6
Rooms located in the Early Childhood wing, Rooms One-Six, are not available for general use. Due to preschool licensing requirements, proper training is required to use these rooms. These rooms will remain locked when not in use.
Family Life Center
- When the Tech Cart is setup, the FLC should not be used for recreation.
- Dragging the tables with chairs on top causes tables to break; do not drag tables.
- 15 round tables for general use; 6 chairs on top of the each table
- 2 6’ tables to the left of the stage for communion
- 2 Mobile Carts returned to south-east wall

LIFT
- 20-35 tables with 6 chairs at each table. The time of year (summer, major vacation times) and weather should be considered when setting up tables. LIFT is about relationships and having too many tables can be a hindrance to that goal.

- Right-center: 3 rows, from the front 8 chairs, 9 chairs, 10 chairs
- Right (band stage): 2 rows, 6 chairs each (from the front 7 chairs, 8 chairs)
- White folding chairs are placed in front of the windows; chairs are not placed along the walls to prevent marring of the walls. No chairs are placed behind the cameras.
Pew Rack – extra supplies are found in the Welcome Center
- The pews have book, card, and pen holders; each holder contains:
- 2 bibles (burgundy)
- 2 pens
- Communication cards
- Offering envelopes
Toddlin’ Totes
- Tote bags with books, paper, crayons
- Located at each of the 4 main entrance
